AI Doesn’t Read Between the Lines

Just because AI answers a question doesn’t mean it answered the question. Experienced proposal professionals know that many RFP questions are asking for more than what’s written on the page.

There is an art and science behind writing a winning proposal… if there wasn’t, companies wouldn’t have dedicated proposal departments, business development teams, or pay consultants to help craft a winning bid, or better yet – why submit at all? If it were that easy, every proposal would simply say, “Here’s our logo, a blurb about us,  we can do this for $X…can we win your business?” If only it were that simple!

If proposal writing were as simple as copy/paste AI-generated content, organizations wouldn’t invest in dedicated proposal teams, consultants, and subject matter experts…let that sink in. 

Evaluators often expect respondents to address underlying concerns such as:

  •  Operational readiness
  •  Innovation
  •  Existing pain points
  •  Customer experience
  •  Risk mitigation
  •  Implementation strategy
  •  Financial stability and/or capability
  •  Long-term value

Define the value. Define your WHY. Understanding what’s really being asked comes from experience…not an algorithm!


AI Is Your Right-Hand Assistant, Not the Final Reviewer

AI can be an incredibly valuable right-hand assistant. It can move fast, organize information, draft content, and help keep a proposal moving forward. But you’re still the expert in the room.

Perhaps one of the biggest mistakes proposal teams make is copying AI-generated content directly into the proposal and thinking, “We’re done.” Ummm…not exactly!

Every AI-generated response still needs a human review against the actual RFP requirements. Put them side by side, apples to apples, does it answer the question? Does this satisfy the RFP ask? Is it sufficient or just OK? Will we lose points? Simply ask:

  •  Did this actually answer the question?
  •  Did it address every evaluation criterion?
  •  Is it factually accurate?
  •  Does it sound like our company?
  •  Did AI invent anything?
  •  Is it too generic?
  •  Is it too wordy?
  •  Does it need supporting data or examples?

AI can help you get there faster…and today, we all LOVE speed; but you’re still responsible for what crosses the finish line.


Finding the Right Balance

One thing we’ve noticed working with proposal teams of all shapes, sizes, and industries is that AI tends to fall into one of two extremes. Sometimes it provides very little detail. Other times…it provides far too much.

Long paragraphs filled with industry buzzwords and unnecessary words – or, as we industry buffs say, “filler words or fluff”– don’t necessarily make a proposal stronger; they can actually bury the information evaluators need to find and score. If the evaluator has to think twice about what they just read…or re-read, you already lost them. 

Prime example:
Evaluators are often reviewing 100s or 1,000s of pages from multiple bidders; imagine that…your eyes would get tired too! If the evaluator has to piece together your story and search for buried details at the end of a paragraph when they should be front and center, you’ve already lost their attention.

The goal isn’t simply to generate more words. Strong proposal design also has to make that information easy to understand and navigate. The goal is to create the right balance between:
